Frame and pole tents are the workhorses of the rental industry and cover most corporate events, graduations and backyard parties. Sailcloth commands a premium for its translucent fabric and wooden poles. Clear span structures are engineered buildings — no interior poles, climate-controllable, and popular for upscale weddings and trade shows.

Regional Pricing Differences

Where you rent matters almost as much as what you rent. The same 40×60 frame tent can cost twice as much in Manhattan as in rural Ohio.

Extras That Add Up

The tent is rarely the final number on your invoice. Most events need at least a few of these add-ons, and they can easily double the base cost.

Flooring ($800 – $2,000) — Subflooring + carpet or vinyl. Required on uneven ground.

Air conditioning ($1,000 – $2,500) — Per unit per day. Budget two units for 100 guests in summer.

Heating ($500 – $1,500) — Propane or forced air. Fall and spring events in northern states.

Lighting ($500 – $1,500) — String lights, chandeliers, uplighting. Mostly aesthetic.

Sidewalls ($200 – $600) — Clear, solid or window panels. Weather protection and privacy.

All-Inclusive Wedding Tent Cost

For a seated dinner for 100 guests with flooring, lighting, climate control and sidewalls, expect to pay between $5,000 and $15,000 total. The low end gets you a pole tent in the Midwest with basic lighting. The high end is a sailcloth tent in New England with hardwood flooring, crystal chandeliers and AC.

Larger weddings scale roughly linearly. A 200-guest wedding tent package typically runs $9,000 to $25,000. Peak-season weekends (June through September) carry a 15–30% premium at most companies.

How to Keep Costs Down

Book early. Last-minute rentals cost more and limit your options.

Choose a Friday or Sunday. Saturday pricing is the highest.

Skip the flooring if your site is flat grass and dry weather is likely.

Combine rentals. Most companies offer discounts when you rent tables, chairs and linens from the same vendor.

Ask about multi-day rates. Setup Friday, event Saturday, teardown Sunday is standard — but some companies charge less if you keep the tent up for a second event.
